Mindful Motion Physio Policies

Mindful Motion Physio wants your care to feel clear, respectful, and easy to understand. These policies explain how payment, scheduling, cancellations, communication, privacy, and scope of care work, so there are fewer surprises before your visit.

Payment Policy

Mindful Motion is a cash-based physical therapy practice. Payment is due at the time of service.

Accepted payment methods include:

  • Cash

  • Debit/Credit Card

  • HSA/FSA

Current physical therapy pricing:

Initial PT Evaluation: $175
PT Treatment Session: $125

Insurance, Superbills, & Reimbursement

Mindful Motion does not bill insurance directly and is not an in-network provider with health insurance plans.

For non-Medicare patients, we can provide a superbill that you may submit to your insurance company for possible reimbursement or deductible credit. Reimbursement is not guaranteed.

Patients are encouraged to contact their insurance plan directly if reimbursement is important to them.

Late Arrival Policy

Because each appointment is one-on-one, late arrivals may shorten your session.

If you are running late, please call or text us as soon as possible. Depending on the schedule, your appointment may need to end at the original time so the next patient’s session can begin on time.

If you are significantly late, the appointment may need to be rescheduled.

Privacy & HIPAA Statement

Mindful Motion respects patient privacy and maintains health information in accordance with applicable privacy requirements.

Patients may request a copy of the Notice of Privacy Practices by contacting us.

Weather & Illness Policy

If you are sick, have a contagious illness, or are unsure whether you should attend your appointment, please contact Alex before coming in.

If weather or road conditions make travel unsafe, please reach out as soon as possible to discuss rescheduling.

Medicare Policy

Mindful Motion is not enrolled with Medicare.

For Medicare beneficiaries, Mindful Motion does not submit claims to Medicare. Patients also cannot submit claims, invoices, receipts, or statements to Medicare or Medicare Advantage for reimbursement.

Because this area can be confusing, Medicare patients should contact us before scheduling if they have questions about private-pay services.

Scope of Services

Mindful Motion provides physical therapy services, including evaluation, treatment, education, manual therapy, movement assessment, functional movement work, home exercise programming, and related care within the scope of physical therapy.

Physical therapy does not replace emergency medical care, primary care, specialist medical care, imaging, prescriptions, or medical services outside our scope of practice as physical therapists.

Reiki Disclaimer

Reiki is offered as a separate supportive service for stress reduction and relaxation. Reiki is not physical therapy, does not diagnose or treat medical conditions, does not replace medical care, and does not interfere with care from a licensed medical provider.

For physical or psychological concerns, patients should consult an appropriate licensed healthcare professional.

Cancellation & No-Show Policy

Mindful Motion asks for at least 24 hours’ notice if you need to cancel or reschedule your appointment.

A $50 no-show fee may apply when notice is not given.

We understand that life happens. If something comes up, please reach out as soon as possible so the appointment time can be offered to another patient.

Medical Emergency Disclaimer

Mindful Motion does not provide emergency medical care.

If you are experiencing a medical emergency, call 911 or seek emergency medical attention right away.

If your symptoms are sudden, severe, rapidly worsening, or concerning, please contact a physician, urgent care, emergency department, or other appropriate medical provider.
